Job Description

We are seeking a confident, creative, and energetic self-starter who is passionate about girl empowerment, demonstrates the ability to successfully deliver culturally responsive services leadership development and enjoys connecting with the community, families, and young people. The Program Director who will help us to create  cultural responsive educational and social learning programs for our participants at Girls For A Change. The Program Director will be responsible for making certain that all staffing goals are met, that all staff members are properly trained, prepared and certified and that each of our programs meets guidelines. 

The Program Director is expected to be an active participant and collaborator within the Girls For A Change community, and there are a variety of opportunities to do so. The Program Director must be creative and focused and establish a superb record of engaging Black girls and other girls of color throughout the Richmond Metropolitan Area. The Program Director must be adept at managing parent engagement and partnerships. The Program Director’s role is designed to cover or contain a comprehensive listing of activities, duties, or responsibilities that are required of the employee for this job. Duties, responsibilities, and activities related to the Program Director job may change at any time with or without notice. 

The position requires travel, after hours and weekend programming. Program Director must have reliable transportation.

Job Responsibilities

General

  • Work closely with GFAC management staff to update and maintain the professional credentials of each staff member. 
  • Stay updated on all laws and regulations and make certain that company operations are within the scope of those laws. 
  • Plan and coordinate events for a variety of programs i.e field trips, workshops, and other activities.
  • Stay up to date with training, certifications, and licensing expected by GFAC. 
  • Facilitate special events, field trips, and workshops. 
  • Develop comprehensive progress reports on all active programs to be submitted to the executive staff each week. 
  • Develop and maintain relationships with schools and community stakeholders. 
  • Maintain and deliver all paperwork required to make sure that the organization’s certifications remain intact and in good standing. 
  • Follow GFAC policies and procedures, including those related to medical and disciplinary situations, child abuse prevention, and emergency procedures. 
  • Professionally communicate as needed confidential and evaluative information with parents/guardians. 
  • Work collaboratively with the Director of Operations for support and guidance on performance management. 
  • Supports staff to ensure program schedule is maintained.
  • Collaborate with researchers to collect and track data for funding and licensing purposes. 
  • Work some weekends and evenings

Communication and Coordination

  • Conflict resolution and effective communication is a must.
  • Actively coordinate with Girls For A Change Team members' integration of wellness, arts, and academics to include STEAM initiatives into the after-school program.
  • Coordinate efforts with Girls For A Change team members on daily operations and staffing needs to assure a safe and respectful environment for participants.
  • Demonstrates effective presentation skills both orally and written.
  • Provides clear direction and checks for comprehension.
  • Maintains professional relationships with families, facility personnel, and the community.
  • Ensures a positive reputation as a partner with the school and is responsive to concerns.
  • Prepare written reports, schedule of activities, and program descriptions.
  • Provide information as requested and in a timely manner for program reports, community inquiries, and information for grant proposals.
  • Meet regularly to strategize upcoming events, maintain schedules, and discuss participant behaviors and accomplishments.
  • Attend and participate in Girls For A Change staff meetings and events.
  • Attend required meetings and training
  • Attend invited and required partner meetings.
  • Follow Girls For A Change protocol for scheduling events, making room reservations, and creating flyers/marketing materials for program events.
  • Communicate effectively utilizing all of Girls For A Change tools, values, and protocols with parents and/ or guardians.
  • Perform other relevant tasks as assigned to enhance programs and opportunities for our participants.
  • Create and post weekly schedules for parents and program leaders involved with each activity.
  • Maintain required records according to GFAC and Licesning standards, including attendance records, immunization records, registration information, accident reports, discipline records, and fire evacuation records.
  • Provide support for an annual fund-raising campaign, and volunteer committees/boards as assigned.

Youth Development and Curriculum Implementation

  • Expands knowledge of self-identifying Black / African American girls and other young women ages 9 - 21 by staying current with the knowledge related to out-of-school time and demonstrating this knowledge in programming.
  • Stimulates and sustains motivation and engagement for all employees and participants.
  • Continually assesses and manages group dynamics to ensure group issues, energy, or concerns are addressed.
  • Creates an environment in which feedback is given and received freely without judgment.
  • Integrates time to practice, reflect, share, provide feedback and discuss application and transfer.
  • Implement a curriculum that addresses educational, recreational, self-esteem, positive relationships, stress and anger management, health and nutrition, and decision-making.
  • Supervise a group of children to ensure their health and safety and to provide a positive experience for each child as needed. May prepare and serve meals/snacks. Maintains proper certification and training.

Technology Skills

  • Must be computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, Access, and PowerPoint. 
  • Computer and design skills including proficiency in Google Suite, Excel, Word, PowerPoint, HTML, Canva, Alpine, Gravity Form Adobe, and design applications ). 
  • Ability to use spreadsheet and data analysis software to understand and communicate data trends.
  • Proven skills in leveraging social media including Instagram, X (formerly Twitter), Facebook, and LinkedIn 
  • Manage social media & online accounts (Mailchimp, Newsletter, Facebook, Website, Google Drive, etc.)

Supervision

  • Hire and manage the development and maintenance of professional working relations with partners, support organizations, and other service providers.
  • Oversee staff, assure appropriate staff conduct and execution of duties, resolve personnel issues and assure regular staff performance review and evaluation.
  • Provides leadership and direction to assigned staff team by observing, teaching, modeling, coaching, celebrating, and providing overall direction for performance management. 
  • Works collaboratively with the Director of Operations for support and guidance on performance management. 
  • Supports staff to ensure program schedule is maintained.
  • Recruit, train, and oversee program leadership, volunteers, and coaches, ensuring appropriate credentials and background checks.
  • Manage and develop outside contracts, vendors, and project budgets.
  • Closely monitor and report on the provision of services, performance outcomes, and reported customer satisfaction
  • Analyze changes in client population and make appropriate service adjustments.
  • Analyze retention performance and adjust strategies to improve job retention achievement.

Qualifications and Skills

  • Bachelor’s Degree in education, social work, or nursing 
  • 3+ years of experience with children or administrative work in a daycare setting (including one year in a staff supervisory capacity) 
  • Ability to maintain workflow efficiency in a fast-paced environment ● Strong communication and leadership skills 
  • Proficiency in MS Office and Google Programs 
  • Compassionate and understanding of nature

Supervisor

  • Reports to the Director of Operations

Team Work

  • Work with GFAC teams and community members to identify information needs and appropriate methods for communicating with the community. 
  • Meet regularly with community-based organizations (CBOs), local leaders and other notables to keep them informed about the program success and challenges.
  • Coordinate and facilitate monthly integrated community meetings with other sector staff and partners, and parents. 
  • Take the lead in maintaining and updating community notice boards and support develop flyers, posters and other materials. 
  • Work with technical advisors, field teams and others to develop messages and delivery for program participants and the community. 
  • Collaborate with field teams to roll out messages and collaborate with the design, monitoring and evaluation team to monitor the messages’ effectiveness.
  • Attend regularly scheduled meetings with GFAC Full-time staff members.

Administration & Building Maintenance

  • Maintain required records according to GFAC and Licesning standards, including attendance records, immunization records, registration information, accident reports, discipline records, and fire evacuation records.
  • Ensures safety & upkeep of facilities and equipment.
  • Coordinates with GFAC facility and/or Director of Operations staff as needed to ensure the site is in compliance with licensing standards.
  • Responsible for ensuring developmentally appropriate classrooms including available materials, branded marketing materials, décor/appearance, and cleanliness utilizing the tools and resources for Accreditation and Licensing.
  • Assist in daily site maintenance to assure a clean and well-organized environment in which to work, play, and learn.
  • Ensure consistent safety and high-quality programs that focus on creating equity and justice for all through youth development best practices and programming models under the guidance of the Youth Development Center of Excellence.
  • Manages the application or renewal process for center accreditations as assigned.
  • Ensure that accurate up-to-date program demographics, attendance, and program outcome information is entered into the database.
  • Ensure the safety of all participants by being present during activities. Have a presence during activities to help direct traffic, control issues such as wandering and conflicts, and maintain a positive flow for participants every day.
  • Participate in all Girls For A Change and State licensing mandated staff training and follow-ups.
  • Participates in Quality Assurance and Quality Improvement opportunities and initiatives.
  • Ensures the center’s community involvement through community-directed activities, Work-based Learning programs, and participation in community events.

Salary

  • Salary position based on experience $45,000- $50,500

  • Paid Time Off – 10 days’ Vacation (to be available after 90 days of employment) and must be used within each  fiscal year of employment, will not carry over
  • Sick Days – 5 days (to be available immediately upon the start of employment) and must be used within each of employment, will not carry over

SMART Goals

The SMART Goals will be an ongoing process to be updated every 6-12 months of employment and to be used in the Annual Performance Review.
The areas of concentration: Program Management, Process Improvement, Board Participation, Financial Literacy, Policies & Procedures, Human Resources, and Personal Development/Growth.

  1. Program Management:
  • Specific: Identify and establish clear benchmarks and key performance indicators  (KPIs) for all active programs under the directorship.
  • Measurable: Develop at least three KPIs for each active program.
  • Achievable: Collaborate with team members and stakeholders to gather relevant data and insights.
  • Relevant: Ensuring programs are on track and achieving intended outcomes.
  • Time-bound: Complete within the first nine months of employment.
